Annual Meeting

The Woods Annual Meeting is scheduled for 9AM, Saturday May 3, 2008 at The Cortina Inn on route 4 in Mendon.  The NOTICE, Agenda, Proxy, Proposed 2008/2009 Budget, Balance Sheet, Voting Information, and Billing Forecast will be sent out the week of April 7.  Please RSVP that you plan to attend or please return your Proxy.  You may designate your Proxy to any Association Member attending the meeting.  If you do not specify someone, the President of the Board of Directors will vote as your Proxy.  It is very important that you either attend the Annual Meeting or submit your Proxy.  You may return your proxy immediately and then withdraw it if you are able to attend the meeting in person.  Members representing at least 50% of the voting power of the Association must be present in person or by proxy to constitute a quorum for the transaction of business.

Barbeque – For Owners who are here for the weekend, we are planning a very casual late afternoon/early evening barbeque on Saturday, May 3 on the patio outside the pool area.

Golf Tournament – Weather permitting, we would like to have a Woods golf tournament on Sunday morning, May 4.  We currently have eight to twelve people interested and are hoping April will be warm enough that an area golf course can open by that date and will give us tee times.  Please call or e-mail if you would like to play.  We must have advance commitments to reserve tee times.

Board of Directors Candidates

There are 3 positions open for the Board of Directors.  The three Board members whose terms expire are Heidi Bomengen Unit F-2; Paul DiGeronimo, Home 1; and Richard Mandel, Home 2.  Both Paul and Richard are willing to continue on the board if elected and will be candidates.  Our current president Heidi Bomengen has served for 5 years and feels it is time to step down.  We ask that nominees submit a brief resume generally stating a little about themselves, any relevant experience, and any thoughts regarding the future of The Woods. Nominations will be accepted up until the day of the Annual Meeting and at the Meeting; however, candidate resumes must be received immediately to be included with the NOTICE and information package being sent to all Homeowners the week of April 7th. 

Gramp’s Shuttle

Our contracted mountain shuttle service with Gramp’s Shuttle ended for the season on March 23.   We have had the same contracted price for the past two seasons and hope owners and guests are pleased with the service.  We are meeting with him this month to discuss a contract for next season and will also look at other available options.  Having shuttle service to and from the ski resort during the winter season is a requirement of our Vermont Act 250 permit.

Kohl / Madowitz Lawsuit

There has been no change regarding this matter since the notice that was sent to all Woods Owners on March 5.   As stated in that correspondence, we have filed for Summary Judgment in our favor and await a response to that filing. We will also be scheduled by the court to meet in formal Mediation with the developers before our Trial Ready date of July 1.  We will keep you informed as things move forward.  

Maintenance/Grounds

March continued with the same weather pattern of several storms a week keeping our crew busy plowing and shoveling.  We rented a large bucket loader for the third time this winter and again pushed back snow banks to keep roads and parking lots open.  The entire staff is ready for spring and warmer weather.

So far our two trucks have performed well all winter and only needed minor repairs to some of the hydraulic parts for the plows and sander.  We purchased new tires for both vehicles at the beginning of the season and are very glad we did.

Due to a longer ski season and what we think have been increased occupancies this winter; we have used about 25% more firewood than any of the past several winters.  We have also used more sand and salt and as the snow recedes you will probably notice more residual sand on the roads and walkways than in past years and there will be damage to the grounds from the winter’s snow removal.   We will clean up roads and walkways and repair the grounds as the weather permits.

Office Hours

We plan on closing The Woods administrative office on Saturdays and Sundays from April 12 through mid June.  We will then open Saturdays from 9AM to 12Noon starting in mid June to be available on Saturday mornings for owners and guests throughout the summer and fall months.  The office will remain closed on Sundays.  The Spa will remain open seven days a week on a summer schedule.

Owner Survey

Thirty-five Owner Surveys have been returned and we are preparing a summary of the ratings and comments which we will post under the “Owners Only” section on our web site WoodsResort.net.  If you have not returned a survey and intend to do so, please complete and return one as soon as possible.  If you do not have a blank copy please call or e-mail us and we will send one to you.

Restaurant

Isabella’s at The Woods closed for the season this past Sunday, March 30.  The feedback from Owners has been positive with varying comments on what could change or what was good.  We are meeting with Nigel Noble, the owner/operator, this week to discuss plans for next year.  Opening a new restaurant at this location is both financially and operationally challenging and he has appreciated our support.   Woods Owners and guests have enjoyed the restaurant and bar this winter and we are hoping to establish a long term successful relationship with Nigel as the operator.

Summer Capital Projects

Dependant upon budget approval at the Annual Meeting; capital projects for this summer will include beginning to repair stucco siding in several of the worst areas on the Cluster units, begin replacing some failed windows and sliders in the Village units, replacing two hot water storage tanks in the Terra Median building, and installing new hatch ways to our water system holding tanks to comply with state requirements.  

  The Spa

Spa Services were again strong in March and we continue to maintain year to date revenues ahead of budget.   Our current plan is to close the pool and hot tub for one week or longer in early May after the Annual Meeting.  During that period we will drain and clean the pool and hot tub, inspect the surfaces, make any needed repairs and apply a new coat of paint. 

We changed to our Spring, Summer and Fall schedule on Sunday, March 30:  Hours of operation are now:

            Monday through Friday            8AM to 6PM

            Saturday                                   8AM to 8PM

            Sundays                                   9AM to 5PM
